SMSA AGM: Agenda & Motions
The agenda for the AGM for Saturday 26th April 2008 are: -
1. To confirm the minutes of the AGM 2007 dated 26th April 2007
2. To receive the reports from all Officers regarding their activities and progress throughout the year.
3. To receive the Treasurer's report and audited accounts of the Society for the year.
4. To elect the new Executive Committee members and appoint auditors for the following year except the post of General Secretary.
Now the submission of motion and nomination of candidates before the AGM has officially closed. Bear in mind that however, the submission of motion and nominations for candidates is open on the day itself as well.
First-Past-the-Post (FPTP) – The winning candidate is simply the person who wins most votes
- Prospective Candidate Qualifications:
a. A current Ordinary Member of SMSA
b. Will remain as a student of the University of Sheffield till June 2008
c. Present during the AGM
A nomination can be made verbally by any current Ordinary or Associate member of SMSA
A nomination only becomes valid when the nomination is seconded by another current Ordinary or Associate member of SMSA·Members can volunteer themselves to run for any positions
Now, on with the motion to be thrown in tomorrow:

Notes:
After one term of service within the office, we, the Executive Committee for the term 2007/08 believe that the current composition of the committee shall be altered due to the reasons stated below:
1. Uneven workload distribution
2. Positions with ambiguous title and unclear work specification
3. Inappropriate inclusion of Webmaster into the Executive Committee
Thus;
Motion:
We, the members of the Executive Committee of the term 2007/08, propose the following amendments of the Constitution to be made:
6.2 The Executive Committee of the Society shall comprise the following:
a. President
b. Vice President
c. General Secretary
d. Treasurer
e. Welfare & Careers Officer
f. Islamic Affairs Officer
g. Sports Officer
h. Media Officer
i. Women's Officer
j. Special Task Officer
7.5 Executive Committee Members
Executive Committee members shall attend all meetings and assist the above officers in performing their duties.
a. Welfare & Careers – shall be responsible for organizing all welfare, academic and career development activities of the Society, under the direction of the appointed Executive Committee.
b. Islamic Affairs Officer – shall be responsible for organizing all religious activities of the Society, under the direction of the appointed Executive Committee.
c. Sports Officer- shall be responsible for organizing all sports and recreational activities of the Society, under the direction of the appointed Executive Committee.
d. Media Officer – shall be responsible to supervise the Society's official website and publications issued on behalf of the Society and to provide technical support in anything with regards to media under the direction of the appointed Executive Committee.
e. Women's Officer – shall be responsible for issues concerning the Society's female members, under the direction of the appointed Executive Committee.
f. Special Task Officer – shall be responsible for the good keeping and management of the Society's assets and to provide any technical assistance in the Society's interest, under the direction of the appointed Executive Committee.

Assalamualaikum
This is to remind you that the Annual General Meeting (AGM) is to be held :
Date: this Saturday, 26th April 2008
Venue: Lecture Theatre 3, Sir Frederick Mappin Building (if anyone is unsure where that building is (which I know of somebody who is anyway..), tag along with somebody else, or ask! =) )
Time: 10.00 am - 4.00 pm
ONLY LUNCH will be provided
Please do come on time. We need more than 1/3 of the SMSA members to satisfy the quorum of the AGM, to start off and perform the AGM! Even more so, please take a bit of your time off to come for the sake of our beloved society.
Please find in SMSA yahoo group the list of SMSA Ordinary and Associate members. With regards to SMSA Constitution Issue 4,
4.1 Ordinary membership shall open all Malaysian students studying in the University of Sheffield and shall be entitled to hold office, vote and enjoy all rights and privileges appertaining to membership of the Society
4.2 Associate membership shall open all Malaysians who are not eligible for the ordinary membership, including Malaysian students studying in other universities and colleges in Sheffield , as well as the spouses and children of any Malaysian students in Sheffield, and non-Malaysian studying in University of Sheffield. An associate member shall entitle to all rights and privileges of an ordinary membership except that he/she may not hold office.
